HVAC System Maintenance: A Full-Year Checklist

Month by Month
Spring: Preparing the Cooling Side
Spring is the heavier maintenance season because cooling equipment sits outdoors and collects a winter’s worth of debris.
Schedule professional cooling service. Book it in March or April. Waiting until the first heat wave means competing with everyone whose system just failed, at peak pricing.

Clear vegetation around the outdoor unit. Two feet of clearance on all sides, five feet above.
Flush the condensate drain line. Cooling season means condensation, and a clogged line backs water up into the drain pan.
Test the system before you need it. Run the AC for 15 minutes on a mild day. Confirm cold air, normal noises, no water pooling. Finding a problem in April is inconvenient. Finding it in July is expensive.
Replace thermostat batteries and confirm the changeover between heating and cooling modes works.
Summer: Light Maintenance During Use

Keep the outdoor unit clear. Grass clippings after mowing, cottonwood seed in early summer, storm debris after weather.
Watch for performance changes. Longer run times, weaker airflow or new noises all mean something. Catching them early is the whole point of paying attention.
Fall: Switching to Heating
Schedule professional heating service. September or October, before the first cold snap, for the same reason spring booking matters.
Replace the filter before heating season starts.
Test carbon monoxide detectors. If you have a gas furnace, this is a safety item, not a maintenance item. Test the units and replace batteries. Detectors themselves expire, typically after 7 to 10 years, so check the manufacture date.
Clear the area around the furnace. Three feet of open space, no stored boxes, paint cans or anything flammable.
Check the exhaust flue from outside for nests, debris or visible damage.
Inspect visible ductwork in the basement, attic or crawl space. Look for disconnected sections, crushed flex duct and obvious gaps at joints. Seal small gaps with mastic or foil tape, never cloth duct tape, which fails within a couple of years.
Run the heat for 15 minutes. A burning smell on first use is normal, that’s dust on the heat exchanger. A smell that persists past 20 minutes isn’t.
Winter: Minimal but Not Zero
Keep filters current. Heating season loads filters more slowly than cooling, but they still load.
Keep the outdoor unit clear of snow and ice. Critical for heat pumps, which run all winter. Clear snow drifts away from the unit and make sure falling ice from a roof edge can’t hit it.
Don’t wrap the outdoor unit in plastic. It traps moisture against the coil and invites rodents. A cover over the top only is fine.
Watch for uneven heating. Rooms that never warm up usually indicate duct problems or blocked vents, both worth fixing before next winter.
What Needs a Licensed Technician

Cooling Service (Spring)
Refrigerant charge measurement. Requires EPA Section 608 certification in the United States. Low refrigerant always means a leak, since a sealed system doesn’t consume it.
Electrical component testing. Capacitors and contactors degrade with heat cycling and fail without warning. Testing them under load catches the ones about to quit.
Compressor amperage draw. A compressor pulling above spec is failing, and there’s no way to see this without a meter.
Evaporator coil inspection. The indoor coil is harder to access than the outdoor one and usually needs partial disassembly.
Heating Service (Fall)
Heat exchanger inspection. This is the safety-critical item on a gas furnace. Cracks let combustion gases into your air supply. Detection requires proper inspection equipment.
Burner cleaning and combustion analysis. Confirms the furnace burns efficiently and safely.
Gas pressure and connection check. Not a DIY task under any circumstances.
Flue and venting inspection. Confirms exhaust gases exit properly.

Signs Your System Is Behind on Maintenance
- Uneven temperatures between rooms. Usually ducts, sometimes airflow balance.
- Longer run times than last season for the same weather.
- Rising energy bills without a usage or rate change.
- Weak airflow at vents. Filter, blower or duct obstruction.
- New noises at startup or shutdown.
- Short cycling. Turning on and off every few minutes stresses the compressor badly.
- Humidity that feels off indoors. An oversized or poorly maintained system cools without dehumidifying properly.
